Medical Assistant (MA) and Certified Medical Assistant (CMA) Position

General Summary: The Certified Medical Assistant is responsible for assisting Physicians with the evaluation, management, and treatment of patients in an ambulatory care setting. The MA assumes responsibility for maintaining patient flow, the upkeep of exam and treatment rooms, and performing basic skills such as taking vital signs and point of care testing. The individual who holds this position exemplifies the University Pain Center mission, vision and values and acts in accordance with Rush and University Pain Center policies and procedures.

Principal Duties and Responsibilities:

  • Coordinates and maintains organized patient flow.
  • Performs patient intake: vital signs, height and weight, reason for visit, interim history, allergies, medication lists, and other interventions as required.
  • Prepares patient for exam based on reason for visit.
  • Prepares and supports patients and assists providers with procedures.
  • Reviews appointment schedules and ensures all patient information is available for the visit.
  • Reviews patient records and ensures that all ancillary reports are available to the provider at the time of visit.
  • Cleans, prepares and stocks exam rooms, treatment rooms, and workstations.
  • Documents patient care information in the outpatient medical record according to standards.
  • Assists with the scheduling of patient tests, procedures, and follow-up appointments.
  • Assists in the care, cleaning, and sterilization of equipment and instruments.
  • Maintains the inventory of medical and linen supplies.
  • Maintains quality control for equipment.
  • Provides cross coverage to other clinical areas as assigned, such as Front Desk duties.
  • Participate in quality improvement projects.

Knowledge, Skills and Abilities:

  • High School Diploma or GED
  • CMA Certification from Rush approved program
  • Current CPR Certification
  • Minimum two years’ experience in clinic setting
  • Must be willing to travel to both locations; Rush downtown and Westchester to provide coverage if necessary
  • Basic computer skills
  • Excellent communication and interpersonal skills
  • Ability to work in a busy, fast-paced environment

Clinic Coordinator

TITLE: Clinic Coordinator

DEPARTMENT: Anesthesiology

BASED AT: University Pain Physicians at Rush Pain Center (UPC), UPC at Westchester. Must have flexibility to travel to both locations as needed.

REPORTS TO: Practice Administrator

General Summary:

The Clinic Coordinator/Receptionist exemplifies the UPC and Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Primary Function:

Carries out all duties of Clinic Coordinator and ensures Front Desk is maintained and operated in an orderly and efficient manner to facilitate workflow and optimize the patient experience.

Principal Duties and Responsibilities:

  • Scheduling of clinical and surgical appointments for clinic, Surgicenter and O.R.
  • Authorizations - verifying patient coverage with insurance companies. Including prior authorizations.
  • Enter new patient data.
  • Handle large volume of incoming calls and ensure they are appropriately directed.
  • Assists patients with any questions they may have regarding appointments etc.
  • Directs any clinical/medical issues to appropriate personnel.
  • Generates reports, Workers Comp letters etc. as necessary.
  • Retrieval of medical records for copying as needed.
  • Sorts subpoenas and disability papers for charts to be copied.
  • Monitors office supplies and keeps Practice Administrator informed re need to re-order.
  • Provide coverage for breaks or vacations as required.
  • Any other projects assigned by Practice Administrator.

Knowledge, Skills and Abilities:

Qualifications: - Minimum High School Diploma. Some college preferred. Minimum 3 years Front Desk experience in a clinic setting. Knowledge of insurance carrier policies, prior authorizations and Medicare regulations preferred. Some knowledge of billing is helpful. Excellent communication skills, both on the phone and in person. Ability to prioritize and to work in fast paced environment. Must be willing to travel to both clinic locations (Rush downtown and Westchester) to provide coverage if necessary. Excellent computer skills. Experience with Electronic Medical record (EMR) is highly preferred. Clinic EMR is eClinicalWorks (ECW). Training on this system will be provided. Sensitivity to patient health information and protection of confidentiality is essential.
